Introduction

1.1 These Terms and Conditions (“Terms”) regulate registration to and attendance at an Event (as defined below) organised by European Federation for Intercultural Learning (“Event Organiser”). 

1.2 It is your responsibility to review these Terms prior to registering for the Event. 

1.3 Throughout your participation at the Event, you are obliged to comply with these Terms. 

Definitions

In these Terms, we are using the following words with their respective meanings:

2.1 “Event Organiser” means European Federation for Intercultural Learning, located in Mundo Madou, Avenue des Arts 7-8, 1210 Brussels, Belgium.

2.2 “Participant” means an individual who has registered with the Event Organiser to participate at an Event.

2.3 “You/your” means the registered Participant at the Event.

2.4 “Content” means all materials, data, information and products provided as part of the Event.

2.5 “Event” means a training course.

2.6 “Event confirmation” means Event Organiser’s acceptance of your registration for the relevant Event via a virtual registration form or by directly contacting the Event Organiser.

2.7 “Intellectual property” means copyright, trademarks, database rights and/or any other intellectual property rights as recognised in any jurisdiction. 

 

Participant

3.1 In order to access an Event, you may register with the Event’s Organiser as a Participant in your own personal capacity or via your institution. In case of the latter, your institution must clearly indicate who they do the registration for. 

 

Registering for an event

4.1 You may register for the Event by:

  1. a) completing a registration form via the Event Organiser’s website or
  2. b) contacting the Event Organiser by email or telephone in accordance with the instructions from their website, their promotional materials or third parties.

4.2 When completing a registration form or speaking with the Event Organiser directly, you must provide them with accurate and complete information. It is your responsibility to inform them of any changes to the information you have already provided by email or telephone. If you do not provide accurate and complete information in your registration, the Event Organiser reserves the right to decline your access to the Event or its Content. It is also your responsibility to inform the Event Organiser of any special access requirements at the time of registering  for the Event. 

 

Confirmation of your registration

5.1 All registrations for an Event are subject to availability and confirmation by the Event Organiser.

5.2 Your registration is confirmed when you receive a confirmation email from the Event Organiser. Your attendance, however, is subject to the payment of the Participation fee. 

5.3 Booking and payment of travel tickets is solely your or your institution’s responsibility. The Event Organiser bears no responsibility over reimbursement claims linked to cancellation of your participation.

 

Participation fee

6.1 The Participation fee for an Event is published on the Event Organiser’s website and in their promotional materials concerning the Event. The Participation fee must be paid according to the instructions included in the Event confirmation.

6.2 Any applicable taxes such as value added tax will be in addition to the fee and you will be notified of such tax in the Event confirmation.

6.3 Bank fees linked to the payment of the Participation fee will be covered by the Participant.

6.4 Participation fee for an Event is correct at the time of the publication. The Event Organiser reserves the right to amend the fee at any time but will not affect any registrations for which an Event confirmation has already been issued. 

 

Payment policy

7.1 Event attendance can only be confirmed upon receipt of payment in full or proof of payment. If payment is not received 30 days prior to the Event, the Event Organiser reserves the right to decline the attendance of the Participant.

7.2 Should the Participant know about a potential delay on the payment of the Participation fee, they should contact the Event Organiser by email or telephone at the earliest opportunity. 

 

Changes to an Event

8.1 The Event programme is correct at the time of publication. Under certain circumstances, it may be necessary for the Event Organiser to alter the format, content, venue and/or timing of an Event. All registered Participants will be notified of such changes prior to the Event. Should the Event Organiser announce a new participation fee, content, dates, location or schedule of the activities, the Participant will be offered the possibility to cancel their participation at no extra costs 30 days prior to the Event

8.2. Should the Event be postponed:

  1. a) You may choose to keep your registration and participate at the new date.
  2. b) You may choose to cancel your registration/participation, in which case you will receive your Participation fee back if you have already provided the Event Organiser with it. This cancellation will need to happen 30 days prior to the Event

 

Cancellations and refunds

9.1 If you cannot attend an Event for which you have registered, please contact the Event Organiser in writing as soon as possible. We may allow you to send a substitute in your place, providing we receive their contact information in due time.

9.2 If you wish to cancel your registration to the Event prior to the deadline of the payment of the Participation fee, no charges will be made.

9.3 If you wish to cancel your attendance at an Event, meaning you have already paid the Participation fee, you must notify the Event Organiser in writing and the following cancellation charges will apply:

  1. Should the Participant cancel after 31 days prior to the Event, 50% of the fee will be charged.
  2. Shall the Participant cancel between 14-0 days prior to the Event, 100% of the fee will be charged.

9.3 In case the Event is cancelled due to ‘Force majeure’ (pandemic, natural disaster, political unrest, etc.), the Event Organiser will notify the participant about its postponement. The conditions from the article 8.2 will apply. 

 

Registered Participant’s responsibilities

10.1 It is the sole responsibility of the Participant to ensure that they are properly insured regarding Personal Accident and Travel Insurance prior to attending an Event. As a matter of good order, the Registered Participant should also ensure that they have Employer’s Liability and/or Public Liability insurance cover as is most appropriate. 

10.2 The Participant is also responsible for ensuring having all necessary and up-to-date travel documentation, including but not limited to visas, COVID-19 certificates and other entry permits into any jurisdiction, and that they comply with all health formalities and any applicable laws in any jurisdiction where the Event is being held.

 

COVID-19

11.1 Following COVID-19 measures that are valid since 6 November 2021 in Greece, the Participant is obligated to possess the following to access the Event:

  1. Proof of full vaccination. The vaccination is considered completed 14 days after the second dose, or
  2. Proof of recovery from COVID-19, valid 6 months from the 30th day after the first positive result, or

11.2  The current COVID-19 measures are subject to government announcements and thus may differ prior and during the Event. This also applies to the decision whether the second or third dose will be considered as full vaccination.
